Rental Criteria

PH Property Management has specific criteria for those who wish to be tenants at our clients’ properties. Our commitment to securing qualified tenants extends beyond the traditional methods.

  • Application fee

    If you wish to apply as a tenant, you must be 18 years of age or older, fill out an application, pay a $75 fee (nonrefundable), and provide a government-issued photo ID card.   • Occupancy Guidelines

    In compliance with all applicable fair-housing laws, we have established restrictions on the total number of persons that may occupy a rental unit. Our guidelines allow two persons per bedroom plus one additional person per unit. These guidelines are to prevent overcrowding and are in keeping with the limitations of the rental application system. Occupancy will be limited to ther person indicated on the original rental application and lease only, unless otherwise agreed in writing. Any proposed additional tenants must complete a rental application and be processed and approved through the same tenant-screening process prior to occupy the rental unit.

  • Income and employment criteria

    • The total combined monthly gross income of all rental applicants in a given rental unit must be at least three time the monthly rental rate, unless 100% subsidized payment approved by this company is provided with the understanding that should at any time this approved agency discontinue your payment, you are responsible for the full monthly rental amount. Only income that can be verified will be considered. We expect rental applications with income to provide at least one year of continuous employment. Full-time students are welcome if the total income of all applicants combined is sufficient or with a lease guarantor. You must provide proof of income if you are unemployed.
    • Self-employed applicants must provide the last TWO (2) years of tax returns with the understanding owner may require first, last, and security deposit
    • Proof of earnings from social security, child support, alimony or spousal support must be documented.
    • Unverifiable income will NOT be considered.
  • Credit Criteria

    • PH Property Management will obtain a credit report.
    • You must be able to demonstrate financial responsibility. If you have charge-offs, unpaid debt, or a pattern of delinquent payments, your application may be denied. Your credit score must be a 500 or better.
  • Criminal & Background Screening

    If you have ever been convicted of, pled guilty, or no consent to a felony or misdemeanor involving violence, drug activity, or honesty, your application may be denied. Please provide this information up front. Sexual offenders, regardless of level, will be denied.

  • Rental Verification

    Each rental applicant must be able to demonstrate a pattern of meeting their rental obligations, leaving prior rental properites in good condition and not having a pattern of complaints from neighbors. We will require satisfactory rental references from at least two prior landlords. If you have ever been evicted for any lease violation, your application may be denied. If you have a balance owed for a prior rental property and have not paid the balance owed, your application may be denied.

  • Reasons for requesting additional information

    • Unverifiable or insufficient income
    • A large amount of late or NSF rent payments
    • Broken leases, property damages, and unpaid rent
    • Mortgage not current, foreclosures
    • Credit score under 550 or no credit score at all
    • Excessive credit collection balances, slow pays
    • Drug-related offenses
  • Guarantor or Cosigner

    If you are the guarantor or cosigner to a tenant, you must provide proof of income that shows your income is five times the monthly rent. Your credit score must also be a minimum of 700. Finally, we require that you provide 12 months of verifiable rent or mortgage history.


    Your credit accounts must be in good standing to be considered, and foreclosure or tax liens will not be accepted.

  • Fair Housing

    PH Property Management adheres strictly to all requirements of the Fair Housing laws.  We do not discriminate against any applicant for any reasons of race, color, creed, national origin, sex, age, marital status, or physical or mental disability.

  • The Application Process

    All rental applications are evaluated in the same manner. Each adult applicant must voluntarily provide his or her social security card for us to obtain a consumer report. Every adult applicant must complete a separate application form and pay the nonrefundable application fee in advance. Any false or incomplete information will result in the denial of your application. If discovered after you are approved and have moved in, we reserve the righ to terminate your tenancy. We will verify the information provided on each rental application through our own screening efforts and/or with the assistance of an independent tenant-screening firm. A credit report, criminal history, employment and rental reference for each and every applicant in a given rental unit will determine whether our rental criteria has been met. Unless we need to verify information by regular mail, we are usually able to process a rental application in one or two days.

  • The Acceptance Process

    Once a lease application is approved, the potential tenant must provide us with the security deposit by 5:00 PM on the next business day. If the deadline is missed, the selection process for tenants will start over. The deposit must be made out to PH Property Management in the form of a cashier's check or money order. We do not accept cash for any reason.

  • Formal Lease Signing

    After paying the security deposit and getting accepted as a tenant, you will be requested to visit our office for a formal lease signing. We will get in touch with you to schedule an appointment on the first day of the lease. During the meeting, we will go over the lease for approximately 30-45 minutes and address any questions or concerns you may have. It's important to note that you must provide a government-issued photo ID at the lease signing as a tenant.

Renter’s Insurance

Ensure the safety of your personal belongings by investing in renter's insurance, a crucial step often overlooked. While the property owner's insurance covers the dwelling, it neglects your personal items, leaving you vulnerable to potential losses. Your personal property, food spoilage, and costs related to the property's loss of use are not covered by the owner's insurance.

It is essential to thoroughly examine the coverage of your renter's insurance policy. Secure renter's insurance effective from the date you assume possession of the property and maintain it throughout your occupancy. Renter's insurance safeguards your clothes, furniture, electronics, and more. Additionally, it provides liability coverage at a surprisingly affordable cost. Move-Out Procedures

  • Rental Applications

    As a tenant, you're required to leave the property clean and undamaged. As long as you have taken care of the property, we will return your security deposit. You must leave the property in the same condition as you received it, minus normal wear and tear.

  • Property showings

    Property owners may place a key box on the property during the last 30 days of your lease or at any time. To withdraw the authorization for this, you must provide written notice and pay 1 month's rent. Tenants will be charged a trip charge of $50 if a landlord or agent cannot access the property.

  • Move-out checklist

    • Provide us with an accurate forwarding address
    • Return all keys, garage door openers, and gate remotes, or you'll be charged a fee
    • Remove all personal belongings and schedule a final walk-through
    • Utilities must be on for the inspection, or you'll be charged $50 for a trip fee
    • After the final walk-through, you must leave - you're not allowed back
    • Call the utility company for final billings
  • Security Deposit Return

    You'll receive your security deposit within 30 days from PH Property Management. You must supply us with a forwarding address to mail your security deposit.
